Accounting labels are printed and attached to manual posting cards for billing purposes. A simple manual posting record keeping system, like the INform Business Systems "One Write" package (contact: Chet Pensak, toll free (888) 786-3676, fax: (904) 255-5937), is used. Each parent gets a receipt for each payment and the summary of receipts helps organize your bank deposits.
Perspective: our databases are Filemaker driven - the database tracks actively enrolled children to auto-generate reports on any given date. IF you loaded a balance due for a child and that child was inactivated, the balance would not be included. Balances due for extended periods of time pose a problem if and when that child's record was deleted. Moreover, balances brought forward would be calculated on the current daycare costs loaded - an old balance would rollup to the new rate and the balance forward would no longer be accurate. These concerns relagates any and all accounting functions to be exported from the records databases so as to not compromise the integrity of the data.
Optional Accounting Databases: it is the mission of Firecat Technology Inc. to provide databases to permit management of data pertinent to child and employee records - the mountain of information to be managed to assure compliance with regulatory agencies, smooth day-to-day operation, and control and coordination of actions necessary to keep parents and employees up to date on requirements. The Child Daycare Databases DO NOT specifically track account balances or generate primary accounting reports. We can provide extensions and interfaces to do these functions, but, these interfaces (additional accounting databases) are offered on a customized, additional cost basis.
We want to do what we offer well - records management. An accounting package, like Quickbooks or Quickbooks Pro, can do your accounting, track carry forward balances, AND organize your checking accounts, summarizing expenses by category (important for your daycare center income tax reporting), and print out your checks. |
